# How to automate QuickBooks to Excel on a schedule

QuickBooks Online is the system of record for many SMB finance teams and fractional CFO practices — but boards, clients, and internal reviewers still expect **Excel**. The monthly ritual of exporting reports, reformatting tabs, and emailing attachments does not scale when you have multiple entities or client books.

## When QuickBooks → Excel automation makes sense

Use scheduled QuickBooks reporting when:

- You rebuild **AR aging** or **client billing rollups** from invoice exports every week or month
- Your **monthly close pack** needs variance tabs and a CFO summary on top of accounting data
- Agency or fractional CFO clients expect a **consistent Excel layout**, not a changing CSV dump

## Step 1 — Pick a template

Start from a curated prompt instead of a blank sheet:

## Step 2 — Connect QuickBooks Online

On **Pro, Team, or Agency**, open **Scheduled reports** in the app:

1. Add a QuickBooks connection (read-only accounting scope)
2. Choose an entity query — Invoices, Payments, Purchases, Bills, or Deposits
3. Paste or reuse your improve prompt from step 1
4. Set a cron preset (for example monthly on the 3rd business day)

## Step 3 — Schedule delivery

Pick how stakeholders receive the file:

- **Email** — attach the `.xlsx` to finance or client distribution lists
- **Webhook** — POST a signed payload to n8n or internal automation ([webhook docs](/integrations/webhook-excel-reports))
- **Recipient portal** — Agency plan share link without Ilka login for clients

Runs are checked about every 15 minutes (UTC). Review **run history** before you widen distribution — Ilka surfaces failure hints for common connector issues.

- Connector pulls default to **500 rows** per run unless your plan documentation states otherwise
